1. Who we are
KL&S Enterprises Pty Ltd trading as Equip Hire, ABN 21 676 209 395, of 770-776 Richmond Road. In this policy “we”, “us” and “Equip Hire” mean that entity. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
2. What we collect
- Contact and business details, name, business or entity name, ABN, phone, mobile, email, billing and site addresses, and the name of the person authorised to sign or collect.
- Hire details, the machine, dates, site address and access details, delivery or pickup arrangements, purchase order numbers, and the job you described to us.
- Account and payment records, credit account applications, trade references, invoices and payment history. We do not collect or store payment card numbers on this website or in our systems.
- Agreement and signing records, the document you were shown, your electronic signature, the consents you gave, the time, the device and the IP address it was signed from, and the document hash.
- Identity evidence, only where a document requires it, a photograph of a driver licence, and where requested a photograph of the person collecting. See section 4.
- Website information, pages visited, referring page, approximate location by IP, and information you type into the Quote Assistant or a contact form.
- Correspondence, emails, SMS and notes of phone calls about a quote, hire or account.
3. Why we collect it
- To quote, arrange, deliver, service and collect an equipment hire or sale.
- To confirm who is responsible for a machine and who is authorised to collect it.
- To meet our safety obligations for the release of plant, and to keep the inspection, service and off-hire records the law and our insurers require.
- To assess a credit account application and to collect amounts owing.
- To answer enquiries, send documents you have asked for, and follow up a quote.
- To keep our website working and to understand which advice pages are useful.
Where a field on a form is optional, you may leave it blank. Where information is required, we cannot complete the hire without it, and the form says so.
4. Identity documents and photographs
This is the most sensitive information we handle, so the rules are set out in full and are the same words shown to you before you upload anything:
Who is collecting it. KL&S Enterprises Pty Ltd t/as Equip Hire, 770-776 Richmond Road.
Why. To confirm that the person collecting or taking responsibility for hired equipment is the person we have authorised, and to meet our obligations for the safe release of plant.
Is it required. Only where the document says so. Where it is optional you may sign without it. Where it is required for an after-hours or unattended pickup, we cannot release the equipment without it.
How it is used and who sees it. A photograph of your licence, and a photograph of you where requested, are stored privately and are only viewed by Equip Hire staff who are authorised to review identification. Every view is recorded. We do not run facial recognition or any automated identity matching. A person checks it.
How long we keep it. Identity photographs are deleted on a retention schedule set by Equip Hire, separately from the signed agreement itself. The signed agreement is kept as a business record.
Your access and correction rights. You may ask us for a copy of, or a correction to, the information we hold about you, and you may ask us to delete identity photographs.
5. Who we share it with
We share personal information only where it is needed to run the hire or where we are required to:
- Service providers who act for us, our accounting and invoicing system, email and SMS delivery providers, our website host, and transport contractors where a delivery is subcontracted. They may only use it to provide that service to us.
- Insurers, loss adjusters and lawyers, where there is damage, loss, theft or a claim.
- Debt recovery, where an account is overdue, as set out in our hire terms.
- Regulators, police and courts, where required or authorised by law, including a safety investigation involving a machine we own.
We do not sell personal information, we do not trade contact lists, and we do not send marketing to people who have only made a hire enquiry unless they have asked to hear from us.
6. How long we keep it
- Signed agreements, invoices and account records, kept as business and tax records for the period required by law.
- Machine inspection, service and off-hire records, kept for the life of the machine, because they are the machine’s safety history.
- Identity photographs and selfies, deleted on their own retention schedule, which is shorter than the agreement, and separately from it.
- Quote enquiries that do not proceed, kept while they are useful for following up, then removed.
7. How we protect it
Information is held in access-controlled systems. Identity evidence is stored outside the public website, is served only to staff with the specific capability to view it, and every view is written to an audit log. Signing links are single-purpose, time-limited and revoked when a document is completed, declined, voided or superseded. Access instructions for after-hours pickup are stored encrypted and are never emailed.
8. Cookies and website analytics
This website uses cookies and similar local storage to keep your place in the Quote Assistant, remember form answers so you do not retype them, and measure which pages are used. You can block or clear cookies in your browser; the Quote Assistant will then start again from the first question. We do not use cookies to build advertising profiles.
9. Your access and correction rights
You may ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete identity photographs. Contact us using the details below. We will ask you to verify who you are before we release anything, and we will respond within a reasonable time, usually within 30 days. If we cannot give you access or make a change, we will tell you why in writing.
10. Complaints
If you think we have mishandled your personal information, contact us first, most issues are resolved quickly by talking to the person who dealt with your hire. If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner at oaic.gov.au.
11. How to contact us
This policy was last updated in July 2026. If we change it, the updated version will appear on this page with a new date.
